These terms are an agreement between you and Tildai Tech, the operator of DigitalCertVerify. By creating an account or using the service you accept them. Please read them together with our Privacy Policy and Refund Policy.
1. The service
DigitalCertVerify lets verifiers (employers, admissions offices and others) check academic certificates against records supplied by the institutions that issued them; lets institutions publish and decide on certificate records; and lets graduates share their verified certificates. Results reflect the institution's records at the moment of the check.
2. Who may use it
- You must be at least 18 and able to enter a binding agreement.
- If you use the service for an organization or institution, you confirm you are authorised to act for it, and these terms bind that organization too.
- Representative accounts (institution and organization) are activated only after we confirm your affiliation. We may refuse or withdraw an approval.
3. Your account
- Give accurate information and keep it up to date.
- Keep your password and two-factor device private. You are responsible for activity on your account until you tell us it has been compromised.
- Tell us straight away at verification@tildaitech.com if you suspect unauthorised access.
- Accounts are personal; do not share them. Institutions should create one account per staff member.
4. Acceptable use
You may use the service only to verify certificates for a legitimate purpose, such as recruitment, admission, licensing or due diligence, and, where the law requires, with the certificate holder's knowledge or consent. You must not:
- look up people without a legitimate reason, or build profiles or lists of graduates;
- scrape, harvest or bulk-download data except through the bulk verification feature or API within your quota;
- try to access another user's data, bypass security or rate limits, or probe the system for vulnerabilities without our written permission;
- upload false records, alter verification reports, or present a report as valid when the live verification page shows otherwise;
- resell or republish verification results, other than sharing them inside your organization for the purpose they were obtained.
5. Institutions' responsibilities
- Upload only records you are authorised to publish, and keep them accurate.
- Decide pending certificates promptly and only after checking your own records.
- Correct or withdraw a record as soon as you learn it is wrong. Every decision is logged with the name of the person who made it.
- You remain the data controller for your graduates' records and are responsible for having a lawful basis to share them through the service.
6. Verification results and reports
- A result shows what the institution's records say at the time of the check. We do not independently examine paper certificates.
- A certificate can be revoked or corrected after a report is issued. Always confirm a report on the live verification page reached through its QR code or link.
- "Not found" means no matching record is held; it is not proof that a certificate is fake.
7. Fees and payment
- Fees are shown before you pay and are charged per verification (or per number in a bulk batch). Prices may change; the price shown when you pay applies.
- Payments are made by M-Pesa through our payment gateway. A verification is delivered once payment is confirmed.
- Refunds are governed by our Refund Policy.
- API access is subject to the monthly quota agreed for your key.
8. Graduates' share links
Graduates may create links that let others view their verified certificate. You control how long a link works and can revoke it at any time. Anyone who receives a link must use it only to check that certificate.
9. Intellectual property
The service, its software, design and reports belong to Tildai Tech. Certificate records belong to the institutions that supplied them. You may download and keep results for the purpose you obtained them, but not copy or reuse the service itself.
10. Availability and changes
We aim to keep the service available at all times but cannot guarantee it will be uninterrupted. We may change or improve features, and will give reasonable notice of changes that materially affect you.
11. Suspension and closure
We may suspend or close an account that breaks these terms, puts others' data at risk, or is required to be closed by law. You may close your account at any time by contacting us; some records are kept afterwards as described in the Privacy Policy.
12. Liability
- Nothing in these terms limits liability that cannot be limited under Kenyan law.
- We are not liable for decisions you make based on a result, for errors in records supplied by institutions, or for losses caused by your misuse of the service.
- Otherwise, our total liability to you for any claim is limited to the fees you paid us in the 12 months before the claim.
13. Governing law and disputes
These terms are governed by the laws of Kenya. We will first try to resolve any dispute with you informally; if that fails, the courts of Kenya have jurisdiction.
14. Changes to these terms
We may update these terms. The date at the top of this page shows when they last changed, and we will email account holders about significant changes before they take effect. Continuing to use the service after that means you accept the updated terms.
